Your needs
It's helpful if you are able to decide on your ideal
schedule in some detail before moving to the quotation
request stage. This will help us to get an accurate
picture of your expectations. We'll try and match
your needs as closely as possible, and come back to
you with the best options we can find.
Things to think about:
How many students are going?
What are the maximum and minimum numbers
of pupils you will accept on the trip, maintaining
the correct ratios of leaders to pupils
How many supervisors?
The number of group leaders and supervisors
you intend to take. Schools will usually offer one
free accommodation place per 10 paying pupils.
Accommodation
If you are staying in residential accommodation,
how many places will you require male:female (approximately).
It is customary in this case for staff to stay on
site. If you opt for host family accommodation, what
are parents happy for pupils to do to get from the
host family to school and back every day? Can they
take the bus? Do they have to walk? Do they need collecting?
Will group leaders wish to collect small groups each
morning and take them to school? If your pupils are
staying in host family accommodation, it is strongly
recommended that you also stay in a host family, though
other options such as self-catering apartments or
hotels also exist.
Travel
How will you get to your destination - by
plane, coach, train? If you are flying, do you want
Cactus to organise tickets (giving you Travel Trust
and ATOL protection). Will you require your own coach
and driver on location? For how many days, and how
long each day? Or will you be using public transport?
If so, what sort of transport will be acceptable?
Exploratory Visit
When would you like to undertake the exploratory
visit, and how many people will be going? At least
one of the trip dates should be from Monday to Friday
to ensure the school is open for you to visit and
meet staff.
When are you going?
The exact dates of your trip if known,
or alternative sets of dates and the year.
Number of lessons
How many lessons you would like per day?
Reducing the number from the usual 20 lessons per
week can help to reduce cost, but you will need to
think of more activities to fill in the time.
Included activities
Where a school can, it will propose both
cost-free and paying activities. Do you have particular
excursions on your list? Are these visits compulsory
(e.g. to fulfill certain course requirements), desirable,
or 'just a thought', etc.
